Be a guest at your own wedding with help from your caterer
Weddings are wonderfully complicated events. And, of course, you want your wedding and reception to be as memorable and stress-free as possible.
One of the first and most important decisions you will make is where to hold your reception. Just as you should try to book the location for your ceremony a year in advance, popular reception sites need to be booked a year or more in advance. And the same goes for the best and most popular caterers.
You and your groom will need to decide how many guests you plan to invite before you start looking for a reception site. An outdoor site for 75 guests requires a completely different venue than a sit-down dinner for 200 people.
Hotels, banquet centers and country clubs usually have in-house caterers and will quote a catering charge per head (guest) based on the formality of the event, as well as the type of meal and beverage service you desire.
Reception sites where catering is not included will provide a flat fee to use the facility. Thus at reception sites without an in-house caterer -- or one where catering is not included -- you will need to engage the services of a professional caterer that specializes in weddings and wedding planning.
To locate a caterer who can meet all your needs, start with your reception site manager. Most will happily provide a list of preferred caterers that have serviced their facility in the past.
For more catering recommendations you may want to check with family, friends or the other wedding professionals you have hired such as your photographer or DJ.
After narrowing your list, call and set up interviews with the caterers' management staff. If possible, schedule tastings as part of the interviews.
Be prepared to ask for quotes on items such as: menu options and cost per head, alcoholic beverage service if desired, standard versus specialty tableware and linens, table and chair rental fees, valet parking, tips and gratuities. Find out when your final head count is due and when your total bill and payment will be expected.
Once you have made your decision, get every detail in writing before signing a contract. Then when it comes time to say, "I do," you'll be able to relax and let your catering professionals do the rest.
